Sign shop software security that protects your prices and your customers

Sign shop software security comes down to three things: who can see your prices, where your files and customer data live, and whether you can take your data with you. In SignEstimator, access follows roles, data is encrypted in transit and at rest, and you can export quotes and customers anytime.

Your material costs, labor rates and margins are the core of your business. A competitor who sees them can undercut you on every bid. This page explains, in plain words, how SignEstimator keeps that information inside your shop and how you stay in control of it. If you have a question this page does not answer, write to [email protected].

What your shop trusts us with

When you use SignEstimator, you store more than quotes. You store the numbers that decide whether a job makes money.

  • Your material library with unit costs, sheet sizes and waste factors.
  • Your labor rate, machine rates, overhead rate and target margin.
  • Your customers, their contact details and their quote history.
  • Files your customers send you: storefront photos, drawings, PDFs and emails.
  • Signed approvals, change orders and, on Team, job costing with actual hours and materials.

Every part of how we build and run SignEstimator starts from one rule: this data belongs to your shop, and only the people you choose can see it.

02 Access and roles
02 Access and roles

Access by role, not by trust

Not everyone in a sign shop needs to see everything. A sales rep needs to send quotes. They do not always need to see your cost of goods or your overhead rate. Roles let you decide.

Role Typical person What they can do
Owner Shop owner or general manager Everything, including billing, rates, margin settings, users and exports
Estimator Estimator or project manager Build and edit estimates, manage the material library, send quotes
Sales Sales rep or account manager Create and send quotes, follow up with customers, see their own win rate

Roles are part of the Shop plan and every plan above it. On Multi-location you can also create custom roles. For example, a branch manager role that sees one branch, or a view-only role for an accountant who checks margin reports.

Single sign-on for your team

On the Team plan, your team signs in with their Google or Microsoft work account. When someone leaves, you turn off their work account and their access to SignEstimator ends with it. There is no forgotten password left behind.

On Multi-location you also get SAML SSO. That lets a larger sign group connect SignEstimator to the identity system it already uses, so one place controls who can sign in across every branch.

An audit log of who changed what

On Team and Multi-location, the audit log records important actions in your account: who changed a rate, who edited a material cost, who sent or changed a quote, and who added or removed a user. If a price looks wrong on a quote, you can see who touched it and when. That turns a long argument into a quick check.

  • Rate and margin changes, with the person and the time.
  • Material library edits and CSV imports.
  • Quote sends, changes and approvals.
  • User invites, role changes and removals.

Encrypted in transit and at rest

Every connection to SignEstimator uses encryption in transit, so data moving between your browser and our servers cannot be read on the way. Stored data, including your files, quotes and customer records, is encrypted at rest. Our servers run with an established cloud hosting provider in secure data centers, and access to production systems is limited to the few people who need it to keep the service running.

Customer quote links

When you send a quote link, the customer sees that one quote and can approve it and sign by name. The link does not open the rest of your account, your other customers or your cost data. The customer sees the sale price and the terms you chose to show, never your margin.

Payments never touch our servers

Plan payments are handled by a certified payment operator. When you subscribe, you enter your card on the payment operator's secure checkout, so your card number never touches our servers. We only see the plan, the status of the subscription and the last digits of the card for your billing page. Multi-location on yearly billing can also pay by invoice.

04 AI and your files

How AI quote drafts use your files

AI quote drafts help you turn a photo, drawing, PDF or email into a draft spec. Here is exactly what happens.

  • The AI reads only the file or text you upload or forward for that draft.
  • It returns a draft spec: sign type, size, letter count, illumination, install height and similar details.
  • Pricing always runs on your own material library and your own rates, inside your account.
  • You review every line before the quote is sent.
  • We do not use your files to train AI models.

Your rates and margins are never sent to the AI to read a file. The AI only sees the document you asked it to read. The math that turns the spec into a price happens in SignEstimator, with your numbers. Read more about sign shop quoting software.

Export your data anytime

You can export your quotes and your customers at any time, on every plan. You do not need to ask us and you do not need to cancel first. That means you always have your own copy, and you are never locked in.

Cancel from the billing page

You can cancel from the billing page in your account, without a call or an email. Your plan stays active until the end of the period you paid for, and you can export your data before and after you cancel. See sign estimating software pricing for how billing works.

Who sees your data inside SignEstimator

Our support team only looks at your account data when it is needed to help with a request you sent, or to keep the service safe and running. We do not sell your data and we do not share your prices with other shops.

06 Checklist for owners
06 Checklist for owners

A security checklist for sign shop owners

Software is only part of the picture. These simple steps keep your shop data safe whatever tools you use.

  • Give each person their own login. Never share one account across the shop.
  • Give sales reps the Sales role if they do not need to see your costs.
  • On Team, turn on SSO with Google or Microsoft so access ends when an account is closed.
  • Review the audit log after a big price change or when a margin looks odd.
  • Remove users the same day they leave the shop.
  • Export your quotes and customers on a regular schedule for your own records.
